Citizen-Only Closed Tender

 

Okavango Diamond Company (ODC) conducts Closed Tenders specifically for citizen-owned companies registered as ODC customers. These tenders provide an opportunity for eligible local businesses to access rough diamond parcels under a competitive bidding process.

How it works

1. Participation & Eligibility

  • Only citizen-owned companies that are fully registered as ODC customers may participate.
  • Customers must attend official Viewing sessions and provide proof of funding (bank statements for the last 3 months).
  • Participation is limited to company directors, shareholders, approved rough diamond experts, and full-time employees.

2. Viewing & Pre-Sale Process

  • Viewing appointments are allocated on a first-come, first-served basis and take place in half-day slots.
  • Only those who attend Viewing and meet all pre-sale conditions will be invited to participate in the Tender.

3. Bidding Process

  • Bids must be submitted electronically within the specified Tender timeframe.
  • Each lot can only receive one bid per customer; multiple bids on the same lot will lead to disqualification.
  • Bids must be in US$/carat, and all submissions are binding.

4. Lot Allocation & Awards

  • Lots are awarded based on:
    • Bid value
    • Customer bidding limit (based on proof of funds)
    • Quantity limits set by ODC
  • No single customer may receive more than 50% of lots on offer.
  • In case of ties, allocation is done at ODC’s discretion, which may include a draw.

5. Post Tender Offers

  • Unsold goods may be offered during a 24-hour Post Tender Offer Period, but only to participants from the main Tender.
  • Proof of funds is required for confirmation.

6. Invoicing & Payment

  • Invoices are issued within 1 business day of award confirmation.
  • Payments are due within 5 working days.
  • Only the winning company may be invoiced and make payment — no third-party invoicing or payments allowed.

 

7. Parcel Collection

  • Parcels will be released only after full payment is received.
  • Companies without a valid VAT Manufacturing Warehouse Certificate will be charged VAT.
